From the Okaloosa Clerk and Bay County Tax Collector FAQs: everything that supports your rental sales, including cash receipts, guest ledgers, the general ledger, Florida Consumer’s Certificates of Exemption, sales tax payments, federal income tax returns and lease agreements. The clock runs three years from when the return was filed or was due, whichever is later.
For a platform host, that means
- Monthly Airbnb and Vrbo earnings or transaction exports, showing rent, cleaning and other fees, and the taxes the platform collected.
- Every direct-booking invoice and payment record.
- Your county and DOR return confirmations, including $0 months.
- Signed leases for any stay over six months (see the six-month rule).
How the audit works
- Written notice at least 30 days before the audit; the auditor phones to confirm three working days ahead (Okaloosa, Bay).
- Records are reviewed at your place of business if it is in the county; otherwise you bring them to the county office before the audit date.
- Walton’s Clerk notes rental ads are checked regularly for compliance, so listings themselves are evidence.
